ERPConnect FAQ
Setup
q\&a related to the setup and initial configuration of the erpconnect service is there a place to find all of the requirements for my erp? yes, your account representative can help answer any questions you have, and there is a pre onboarding checklist for each supported erp on our vendor hosted support page https //support fispan com/citizens/ https //support fispan com/citizens/ do we need to have a sandbox environment for our erp system to use erpconnect? we strongly recommend that our netsuite and intacct users have a sandbox environment for testing payments at setup a sandbox environment isn’t needed to test information reporting or positive pay if you are using business central 365, xero or quickbooks, our vendor partner, fispan, will do the payments testing on your behalf at setup we will walk you through the process during your kickoff call does a specific person need to complete the erpconnect installation or update? yes the erpconnect administrator, or another erp user with administrator access, must complete the installation of, or update to, the erpconnect plugin how do we find our netsuite account id? your account id is displayed on the company information page in netsuite in both your sandbox and production environments to find it, go to setup, select company, and click company information can we reuse the “start here” link from our initial welcome email to install erpconnect plug in in our production environment? if you have a sandbox environment, your erpconnect administrator will receive two emails the first will include a link valid for your sandbox environment the second will be sent with an updated link when your erpconnect plug in is ready to be installed in your production environment each link can only be used once and is specific to your sandbox or production environment how are erpconnect users set up in xero or quickbooks? erpconnect companion app user creation is completed by our vendor partner, fispan administrators in xero and quickbooks are not able to set up erpconnect users please contact your commercial priority services specialist directly, contact client services or send a request directly to fispan at citizens support\@fispan com mailto\ citizens support\@fispan com to have new user(s) added after the setup is completed, an invitation email will be sent to the new user with a link to register important note there is no user level entitlement within the companion app – it is all or nothing everyone with erpconnect access in xero or quickbooks can release payment for all accounts therefore, for proper segregation of duties, ensure that within your native erp, one user has the ‘only create drafts’ permission to create invoices, and another user has the ‘approve’ and ‘pay’ permissions to approve invoices before they appear in erpconnect is there a limit of erpconnect users that can be setup for our company? with our embedded experience, your users are controlled within your native erp (netsuite, intacct, business central 365) for our companion app, you can request to have us set up as many users as you would like based on your business needs how can we ensure segregation of duties for payments? user creation and entitlement within your erp is managed by your erp administrators below are a few options for user entitlements that will create a separation of duties within your erp and ensure at least two users participate in submitting payments to the bank option 1 erp administrator entitles three users with different permissions, so one can create invoices, a second can approve/open invoices and a third can release invoices user 1 is entitled to create invoices, or drafts, within your native erp user 2 is entitled to approve/open invoices within your native erp user 3 is entitled to release approved/opened invoices within the erpconnect payable feature by selecting customization → scripting → script deployment or this user is given access to the companion app option 2 erp administrator entitles two users with different permissions, so one can create invoices and a second can approve/open and release invoices user 1 is entitled to create invoices within your native erp user 2 is entitled to approve/open invoices within your native erp user 2 is entitled to release approved/opened invoices within the erpconnect payable feature by selecting customization → scripting → script deployment or this user is given access to the companion app option 3 erp administrator entitles two users with different permissions, so one can create and approve/open invoices and a second can release invoices user 1 is entitled to create and approve/open invoices within your native erp user 2 is entitled to release approved/opened invoices within the erpconnect payable feature by selecting customization → scripting → script deployment or this user is given access to the companion app will a netsuite user entitled to suitescript (view), suitescript scheduling (full) and custom lists (full) be able to entitle themselves or another netsuite user to send payments to citizens in erpconnect? no a user with these three entitlements will be able to access the erpconnect plugin in netsuite, but they will not be able to send payments or make changes
