Mass Updating Supplier Payment Types via EIB (Workday)
Use an inbound EIB (Enterprise Interface Builder) with the Submit Supplier web service to update many suppliers at once. Test with 1–2 suppliers before running a full batch.
Access required: The Submit Supplier web service is secured by the iLoad Web Services domain, whose security groups are not configurable. In most tenants, only the Implementers group can run this EIB. If you are not a Workday administrator, ask your administrator or implementation partner to complete this option, or update suppliers one at a time using Step 10.4: Assign to Suppliers (Workday).
You also need your FISPAN Payments reference ID (see Find Your FISPAN Payments Reference ID).
Create the EIB
Open Create EIB
Search the task Create EIB.
Name the EIB
Enter a Name (for example, "FISPAN Update Supplier Payment Type"), select Inbound, and click OK.
Set the General Settings
On General Settings, set an ID using letters, numbers and underscores only (for example, FISPAN_UpdateSupplierPaymentType). Add an optional comment, then click Next.
Set the Data Source
On Get Data, set:
- Retrieval Method: Attach File at Launch
- File Type: Web Service Spreadsheet Template
- Web Service Operation: Submit Supplier (Web Service)
Keep the Transform Settings
On Transform, leave Transformation Type as Template Model and Template Model from Web Service Operation as Submit Supplier. Click Next.
Keep the Deliver Settings
On Deliver, leave Delivery Method as Workday Web Service Operation (Submit Supplier). Click Next.
Save the EIB
Review the summary and click OK to save.
To find the EIB again later, search intsys: followed by its name (for example, intsys: FISPAN).
Choose Which Suppliers to Include
Generate the template pre-filled with each supplier's current data. This keeps existing supplier details from being overwritten by blank fields.
Open the Template Model
Open the EIB and go to Actions -> Template Model -> View.
Edit the Data Options
Click Edit Template with Data Options.
Select the Reference ID Filter
Leave Web Service Operation as Get Suppliers (Web Service) and select Reference ID Filter.
Add the Suppliers
For each supplier, enter its Supplier ID (for example, S-0020) in ID and set ID Type to Supplier ID. Click ⊕ to add more rows.
Save the Filter
Click OK.
Generate and Download the Template
Generate the Template
On the EIB, go to Actions -> Template Model -> Generate Spreadsheet Template.
Include Supplier Data
Leave the format as XLSX, check Generate Spreadsheet with Data, and click Submit.
Wait for the Process to Complete
Open the background process (from your notifications) and refresh until Status shows Completed.
Download the Template
Under Output Files, download the .xlsx file.
Update the Spreadsheet
For each supplier row, update these columns and leave the rest as Workday generated them.
Column | Value |
|---|---|
Supplier | The Supplier ID (for example, S-0020). Required to update an existing supplier instead of creating a new one. |
Auto Complete | y to skip the Supplier Change approval. Leave blank to send each change through your normal approval. |
Payment Types Accepted+ | Add your FISPAN Payments reference ID as an additional row if it is not already listed. |
Default Payment Type | Your FISPAN Payments reference ID |
Phone – Do Not Replace All | y |
Phone – Phone Number | The full number including area code, digits only (for example, 8008699595) |
Payment types appear by reference ID in the template. Use your tenant's reference ID, not the name "FISPAN Payments".
Launch the EIB
Open Launch / Schedule Integration
On the EIB, go to Actions -> Integration -> Launch / Schedule Integration.
Run Now
Leave Run Frequency as Run Now and click OK.
Attach the Spreadsheet
In the Integration Attachment row, click the list icon, choose Create, and upload your updated spreadsheet.
Set the Load Options
Leave Load Error Limit as Unlimited and Validate Only Load unchecked. To check the file without changing anything first, check Validate Only Load.
Add Errors to the Attachment
Check Add Errors to Attachment, then click OK.
Check the Results
Open the background process and refresh until Status shows Completed. The Execution Summary should show 0 failed records.
If the status shows Completed With Errors, download FailureReport.html from Output Files and see Troubleshooting EIB Errors (Workday).
