wellsone virtual card payments (wvcp) are a payment method provided by wells fargo note wells fargo issues and settles payments in usd and cad only a transaction can be submitted in one of the supported currencies https //support fispan com/vantage connect/virtual card requirements#ih gy vendor record & bill requirements please include the following required information for all payments to avoid potential delays or returns the vendor’s full name, address, email address, and phone number are expected to be populated on the vendor record the billing addresses in the vendor record and bill must match the country of the address in the vendor bank details record the currency of the vendor bill must be one of the supported currencies https //support fispan com/vantage connect/virtual card requirements#ih gy the bill has a reference id (for example, an invoice number) adding email addresses for virtual cards to input the vendor email address used by the virtual card, follow the instructions below links are also provided for erp specific data entry instructions note a single email address must be provided for virtual card payments or they will fail the email address entered is used to deliver payment information to the supplier some erps allow for the entry of multiple email addresses, but this is not supported for virtual card payments netsuite go to the netsuite vendor record > vantage connect tab and enter the email address for this vendor sage intacct / business central 365 sage intacct and business central 365 can use a specific field for virtual card email addresses if there are multiple email addresses in a group, the first email in the list will be used intacct payment methods (intacct) > adding email addresses business central 365 payment methods (bc365) > adding email addresses virtual card reconciliation users can submit virtual card payments out of a “credit card” type ledger account in their erp to separate the card liability from the cash clearing warning when the card is swiped, it is the responsibility of the user to manually record the transaction in their journal (i e , “pay for the swipe”) virtual card cancellations virtual card cancellations allow you to request a cancellation on a previously submitted virtual card payment the cancellation history page will display cancellation status note only payments with virtual card statuses of approved, declined, and submitted can be cancelled contingent upon the virtual card status the payment must not have already been completed or expired to be successfully cancelled you should also submit cancellations in the erp to ensure the status of the paid bill is properly updated in the erp to initiate the cancellation request, begin by logging into your erp and clicking into the vantage connect bundle from the menu, select the payment cancellations page choose the desired payment to be cancelled and click cancel review payment details and confirm the request to cancel by clicking cancel payment and providing the designated reason for cancellation netsuite for previously submitted virtual card payments that have not been completed or expired, here are the detailed
